A Guide for International Couples

Planning a destination wedding in Italy from Canada, the United States or another country comes with plenty of exciting decisions – choosing your venue, discovering local cuisine, creating your design concept and planning an unforgettable experience for your guests.

But there is one very practical question that often doesn't come up until the first contracts arrive:

How do you actually pay your wedding vendors in Italy?

For North American couples, the answer may be quite different from what you're used to at home. In Canada and the United States, paying larger expenses by credit card or check is common. In Italy – and Europe more generally – the payment culture works differently.

Checks are generally not a practical payment method for European wedding vendors and are rarely accepted. If you're used to paying suppliers by check at home, you should therefore plan on using a different method for your destination wedding in Italy.

Credit cards are more widely accepted, but when it comes to wedding vendors, their use can still be limited. Some hotels, resorts and internationally oriented wedding businesses offer credit card payments, but many independent venues, caterers, florists, musicians and other local suppliers don't – particularly for larger invoices.

Instead, the standard payment method you will encounter again and again is the bank transfer.

This can initially feel unfamiliar when you're planning your wedding from Canada or the United States, but it doesn't have to make the process complicated. International couples today have several options, including traditional bank transfers, services such as Wise and, with some suppliers, PayPal or credit card payments.

The key is simply understanding the European payment system before you begin signing contracts.

Here is what international couples should know about paying wedding vendors in Italy – from credit cards and checks to PayPal, Wise and international bank transfers.

Bank Transfers Are the Standard Payment Method in Italy

One of the first differences international couples will notice is that bank transfers are extremely common in Italy and throughout Europe.

Your venue, caterer, florist, photographer or other wedding vendor will usually issue an invoice or provide the necessary payment information. You then transfer the required amount directly to their business bank account.

For European payments, you will usually receive details such as the vendor's:

  • account holder information
  • IBAN
  • BIC/SWIFT code where required
  • bank details
  • invoice or payment reference

The contract will normally specify when each payment is due.

Depending on the supplier, this might include an initial deposit when signing the contract, one or more instalments during the planning period and a final payment shortly before the wedding.

For European couples, paying an invoice this way is completely routine. For couples from Canada or the United States, however, it can initially feel unfamiliar – especially when you're used to simply entering your credit card details.

Can You Pay Italian Wedding Vendors by Credit Card?

Sometimes – but not always.

This is an important distinction for international couples who are planning to use a credit card for most of their wedding expenses. Some Italian wedding businesses, particularly larger hotels, resorts and internationally oriented suppliers, may accept credit cards. Others may provide an online payment link or use a payment processor that allows card payments. However, many independent wedding vendors and venues still work primarily or exclusively with bank transfers.

This is especially relevant when you're dealing with large wedding invoices. A supplier accepting credit cards for everyday purchases doesn't necessarily mean they will accept a €10,000 or €20,000 wedding payment by card. For that reason, I wouldn't recommend building your entire wedding payment strategy around a credit card without first checking what your individual vendors accept.

What About Paying Wedding Vendors by Check?

If you're planning your wedding from North America, you may also be accustomed to paying larger invoices by check.

For a destination wedding in Italy, however, you shouldn't plan on using checks as a payment method. Checks are far less common in everyday European business transactions than they are in North America, and Italian wedding venues and vendors will generally expect electronic payment instead. An international check would also create unnecessary complications regarding processing times, currencies and banking procedures. For this reason, if a vendor doesn't accept your preferred credit card, the next step should be to ask about another electronic payment option rather than a check. Depending on the supplier, this might be PayPal. Otherwise, you can arrange the payment by bank transfer, either directly through your bank or through an international transfer service such as Wise. This is one of those small cultural differences that is helpful to know before planning a wedding in Europe. Once you're prepared for it, managing payments from overseas becomes much easier.

What If You Want to Use American Express for Your Wedding?

This is a particularly relevant question for North American couples. You may be considering opening a joint American Express account or another rewards credit card specifically for your wedding. On paper, it can make perfect sense: wedding expenses are significant, so why not collect points or travel rewards at the same time?

You can absolutely use your credit card wherever a vendor accepts it. The important thing is simply not to assume that every Italian wedding vendor will. Before opening a new card specifically for wedding expenses, consider that a significant portion of your venue and vendor payments may ultimately need to be made via bank transfer. Your credit card can still be incredibly useful for flights, hotels, rental cars, restaurants, wedding-related purchases and any suppliers that do accept cards. But for the wedding vendors themselves, it is worth having an alternative payment method available from the beginning.

Ask Every Vendor About Their Payment Options

There isn't one payment method that applies to every wedding supplier in Italy. That's why one of the simplest solutions is also the most effective: Ask.

As your Wedding Planner, this is something I can clarify directly with each supplier during the planning process. When we request proposals or move forward with a vendor, we can establish: Do they accept credit cards?

If yes, perfect. You can decide whether paying by card makes sense for you. If not: Do they accept PayPal or another online payment method?

And if neither is available: How should the international bank transfer be made?

Knowing this information before signing a contract allows you to understand exactly how future payments will work and avoids unnecessary surprises when a deposit becomes due.

PayPal Can Be an Alternative

Some wedding professionals may also accept PayPal. For international couples, this can feel more familiar because you don't need to initiate a traditional international bank transfer yourself. However, PayPal shouldn't automatically be expected either. Whether it is available depends entirely on the individual vendor. There may also be transaction or currency-conversion fees involved, particularly with larger international payments. Before paying a significant invoice, it is therefore worth check ng the total amount that will be charged and whether any fees apply. For example, for my own wedding planning services at Artiage Weddings, my international couples can choose between bank transfer and PayPal. This gives couples an additional option if they would prefer not to arrange an international bank transfer for my invoices.

Wise Can Make International Bank Transfers Easier

Another option worth knowing about is Wise, formerly known as TransferWise. Wise isn't quite the same thing as PayPal. It is a financial service particularly popular for international money transfers and managing payments in different currencies. For a Canadian or American couple paying invoices in euros, it can therefore be a useful alternative to arranging every international transfer directly through their traditional bank. Depending on your country, account and transaction, Wise can offer competitive exchange rates and transparent fees for converting your local currency into euros and transferring the money to a European bank account. This can become particularly relevant for a destination wedding because you may be making numerous euro-denominated payments over the course of a year or more. Before using any payment provider, however, always check the current exchange rate, transfer fees, transaction limits and conditions that apply to your particular account and country.

Pay Attention to Currency Exchange

When your wedding budget is in euros but your income and savings are in Canadian or US dollars, there is another factor to consider: the exchange rate. If your wedding takes place more than a year from now, the exchange rate between your home currency and the euro can change during your planning period. That means a €10,000 payment may cost you a different amount in Canadian or US dollars depending on when you make it. For this reason, I recommend thinking about your wedding budget in euros from the beginning wherever possible. If your venue costs €15,000, record €15,000 in your wedding budget rather than continuously converting it into dollars. This makes it much easier to keep track of the actual commitments you've made to your Italian suppliers. You can then separately monitor how currency conversion affects the amount you ultimately pay in your home currency.

Don't Forget International Transfer and Conversion Fees

The invoice amount isn't always the final amount that leaves your account. Depending on the payment method you choose, additional costs can include:

  • international transfer fees
  • intermediary bank fees
  • currency-conversion fees
  • credit card foreign transaction fees
  • PayPal fees
  • payment-processing charges

For a single payment, these costs might seem relatively small. Across multiple large invoices, however, they can add up. It is therefore worth comparing your available payment options rather than automatically using your usual bank or credit card. And when transferring money internationally, always make sure the vendor receives the full invoice amount in euros required under your agreement.

Expect Deposits and Instalment Payments

Fortunately, you generally won't be paying for your entire destination wedding at once. Wedding vendors typically work with a payment schedule. An initial deposit may be required to secure the booking, followed by one or more instalments and a final balance closer to the wedding. The exact schedule varies from supplier to supplier and should always be stated in the individual contract. This is particularly helpful for destination weddings because expenses are distributed throughout the planning period rather than becoming due simultaneously. At the same time, an international wedding can involve many different suppliers, each with their own payment dates. A venue might require its next instalment in January, your photographer in March and another vendor a few weeks before the wedding. This is why keeping a structured overview of payment deadlines becomes particularly important.

Always Verify Bank Details Before Sending Large Payments

This point has nothing specifically to do with Italy, but it is particularly important when transferring significant amounts of money internationally. If you receive new or changed bank details by email, especially for a large invoice, verify them directly with the vendor before transferring the money. Ideally, confirm the information through a communication channel you have already used with the supplier rather than simply replying to an unexpected email requesting payment to a different account. Destination weddings involve substantial payments, so taking an additional minute to verify payment information is always worthwhile.

For most international couples, the most practical approach is to remain flexible: Credit card where available. PayPal where offered. Wise or an international bank transfer when the supplier requires a transfer. Once you understand that bank transfers are a normal part of working with European wedding vendors, the process becomes much less intimidating. And with a clear payment schedule and someone coordinating the individual suppliers, paying for your destination wedding from another continent can be just as structured as planning the rest of it.
