Venue Scouting for International Couples

Choosing your wedding venue is one of the most important decisions you will make when planning a destination wedding in Italy. Your venue doesn't simply determine where you will celebrate. It influences the atmosphere of your entire wedding, the guest experience, the design possibilities, the logistics and, ultimately, how your wedding weekend will feel.

But what happens when you live in Canada, the United States or somewhere else overseas and can't simply fly to Europe for a weekend of venue visits?

For many international couples, travelling to Italy several times before their wedding simply isn't realistic. Work commitments, travel time and the costs involved can mean that the first time they personally see their wedding venue is when they arrive in Italy for their wedding.

And understandably, that can feel like a very big decision to make from thousands of miles away. This is exactly why my venue scouting process for international couples works differently.

Rather than expecting you to choose your wedding venue based solely on photographs, Instagram posts or a website, I work with a three-step venue scouting process. We gradually narrow down the possibilities, gather more information at every stage and ultimately examine your favourite venues in detail.

The goal is simple: to give you the confidence to choose your wedding venue in Italy, even if you cannot personally travel to Europe before your wedding.

My Three-Step Venue Scouting Process for Destination Weddings in Italy

Step 1: A Curated Selection of Approximately Ten Venues

The process starts long before we schedule our first venue tour. First, I want to understand exactly what you are looking for. How many guests are you expecting? Which regions of Italy are you considering? What is your overall wedding budget? Would you like your guests to stay at the venue? Is a pool important? Are children attending? Do we need to consider accessibility? Would you like to celebrate outside? How late would you like the party to continue? And, most importantly, how do you want your wedding to feel? All of these details influence which venues actually make sense for you.

Based on your criteria, I research and curate a selection of approximately ten wedding venues that I believe could be a genuine fit. Rather than simply sending you ten links, I prepare the information so that you can properly compare your options. You receive the relevant documents and details available for each venue, presented in a clear and structured way. We look at aspects such as capacity, accommodation, pricing, exclusivity, available spaces, logistical requirements and the possibilities for the different parts of your wedding celebration.

This first stage is deliberately about curation rather than quantity. There are hundreds of beautiful wedding venues in Italy. Looking at all of them doesn't necessarily make finding your venue easier – often, it makes the decision more overwhelming. My job is to filter those possibilities for you and present the venues that genuinely match your requirements, budget and vision. From this initial selection, you choose the venues you are most interested in exploring further.

Step 2: Remote Venue Scouting

The second stage is our Remote Venue Scouting. Many wedding venues in Italy are now accustomed to working with international couples and offer virtual venue tours via video call. This has become an incredibly valuable first step for couples planning their wedding from overseas. Together, we join a live video call with the venue. The venue representative walks us through the property and shows us the different spaces while we have the opportunity to ask questions in real time. This gives you a much better understanding of the property than photographs alone ever could. We can see how the different areas connect, get a sense of proportions and understand where the various parts of your celebration could potentially take place.

Where could you hold your ceremony?

Where would the aperitivo take place?

What are the options for dinner?

Where could the party happen?

What happens if it rains?

Where can guests stay?

And how does the property feel as a whole?

Remote Venue Scouting allows us to eliminate venues that might have looked perfect on paper but don't feel quite right once we see them in more detail. At the same time, it usually reveals the venues that deserve a closer look. And that brings us to the most important stage.

Step 3: I Personally Visit Your Final Venues in Italy

Once we have narrowed the selection down further, we choose approximately two to three favourite venues. If you are able to travel to Italy, we visit these venues together. But if travelling to Europe before your wedding isn't possible, I travel to Italy and visit them for you. This is where my venue scouting process goes significantly deeper than the initial virtual tour with the venue. During the Remote Venue Scouting, the venue representative understandably shows us their property from their perspective. They know their venue extremely well – but they don't know your wedding vision in the same level of detail that I do. By the time I visit the venue personally, I already know you, your priorities and the experience we are trying to create. So I don't simply tour the property. I walk through your potential wedding day.

Experiencing the Venue Through Your Wedding Vision

When I arrive at the venue, I look at it specifically through the lens of your wedding. I might start where your guests would arrive and follow the route they would take to your ceremony. Where will they be welcomed? What will they see first? How does the ceremony space feel when you actually stand there? Where would you enter? Where would your guests move after the ceremony? Then I walk the route towards the aperitivo. I look at how naturally the different spaces connect and whether the transitions we have imagined actually work in reality. From there, we consider dinner, the cake moment and the party. This allows us to assess not only whether a venue is beautiful, but whether it works for your particular celebration. I also look closely at practical details that can be difficult to understand through photographs or an initial virtual tour: guest routes, distances between spaces, accessibility, logistics, lighting, privacy, acoustics and weather alternatives. Where does the sun set? Which areas are shaded during the afternoon? What does the Plan B space actually feel like? Can the indoor option accommodate your guest count comfortably, or does it simply technically fit the required number of people? How far do guests have to walk between different parts of the celebration?

These details might seem small during the initial venue search, but they can have an enormous impact on the experience of your wedding day.

You Join Me Virtually

Just because you can't travel to Italy doesn't mean you aren't part of this final venue visit. During my personal scouting, I take you with me virtually via video call. We can walk through the property together, revisit spaces you particularly liked during the initial Remote Venue Scouting and look at specific details that matter to you. Perhaps you want to see exactly what the view from your dinner table could look like. Maybe you want another look at the bridal suite. Or perhaps we want to stand in the ceremony space and determine exactly where the floral installation, musicians and guests could be positioned. Because I already understand your vision, this second virtual visit becomes much more personal and detailed than the initial tour provided by the venue.

Instead of asking simply, "What does this venue look like?", we can start asking:

"What would our wedding look and feel like here?"

That is a very different question.

Why I Don't Recommend Choosing a Venue Based on Photos Alone

Italian wedding venues photograph exceptionally well. A beautiful photograph of a historic villa surrounded by cypress trees or a Masseria glowing in the evening sun can immediately make you fall in love. But a beautiful photograph doesn't tell you everything you need to know. It doesn't necessarily show you what is located directly behind the photographer. It doesn't tell you how far your guests need to walk to dinner, what the indoor alternative looks like if it rains or whether the party space is close enough to guest accommodation. And it certainly doesn't tell you how a place feels when you actually stand there. This is why my three-step process deliberately moves from research to virtual experience to personal verification. With every step, we learn more. And with every step, the selection becomes smaller until you are choosing between a few venues that have been carefully considered from multiple perspectives.

What If We Can Travel to Italy for Venue Scouting?

If you are able to travel to Italy before your wedding, I absolutely recommend doing so. In this case, the first two stages of the process remain largely the same. I still create your curated venue selection first, and we can use Remote Venue Scouting to narrow down the possibilities before you book flights and accommodation. That means we don't spend your valuable time in Italy visiting ten or fifteen venues that may or may not be suitable. Instead, we use your trip intentionally. Once we know which venues are genuine contenders, we visit the final selection together in Italy. I accompany you during the appointments, ask the relevant questions and help you evaluate each venue not only emotionally but also from a planning and logistical perspective. The difference is simply that instead of joining me through a screen, you are standing there with me.

Finding a Wedding Venue in Italy From Overseas Can Still Feel Personal

Planning a destination wedding remotely doesn't have to mean making impersonal decisions from behind a laptop. Quite the opposite. With the right process, technology allows us to narrow down hundreds of possibilities before personal expertise takes over where technology reaches its limits. My three-step venue scouting process combines curated research, Remote Venue Scouting and personal on-site expertise.

For couples who cannot travel to Europe, I essentially become your eyes on the ground in Italy. I don't only look at whether a venue is beautiful. I consider whether it works for your guest count, your priorities, your logistics and, most importantly, the wedding experience we want to create together. Because choosing your venue from another continent requires a great deal of trust. My goal is to give you as much information, transparency and personal insight as possible so that when you finally make that decision, it doesn't feel like a leap of faith. It feels like the right choice.

Yes. Many international couples book their wedding venue without personally visiting Italy beforehand. What is Remote Venue Scouting?

Remote Venue Scouting is a virtual venue visit, usually conducted via a live video call. How many venues do you personally visit in Italy?

For couples who cannot travel to Europe for their own venue scouting, I personally visit a final selection of approximately two to three venues after we have already narrowed down the options through research and Remote Venue Scouting.

Will we be able to join the venue visit?

Yes. When I visit the final venues on your behalf, I take you with me virtually via video call. This allows us to walk through the property together, discuss your questions and look specifically at how your wedding could work within the space.

What do you check during your personal venue visit?

I look at both aesthetic and practical aspects of the venue. This can include the ceremony, aperitivo, dinner and party spaces, guest routes, accessibility, lighting, privacy, weather alternatives and general logistics.

Most importantly, I assess these aspects in relation to your individual wedding vision, rather than evaluating the venue in isolation.

What happens if we can travel to Italy?

Then we visit the final venues together. We can still use the first two stages of the process to narrow down the selection before your trip, allowing us to use your time in Italy efficiently and focus only on the strongest options.

Is a virtual venue tour enough to choose a wedding venue?

Sometimes it can be, but for my international couples I prefer an additional personal assessment of the final venues whenever they cannot travel themselves. A venue representative can give us an excellent overview during a virtual tour, but an independent on-site visit allows me to evaluate the property specifically from the perspective of your wedding.

Is this process only for couples from the USA and Canada?

No. The process is designed for international couples planning a destination wedding in Italy who cannot easily travel to Europe for venue scouting. Whether you live in Canada, the United States, Australia or elsewhere, the principle is the same: distance shouldn't prevent you from making a well-informed decision about one of the most important elements of your wedding.
